The Recruitment Business Limited, trading as ‘Become’, is a leading creative recruitment agency that has seen exponential growth since 1997. Just ten years after their London launch, Become added branches in Manchester and Sydney and by 2014 the agency was opening an office in Hong Kong too.
Become is now recognised as a global connector between the best talent and the largest creative agencies with seven branches worldwide. It is this rapid rise that left them with accounting software that was no longer able to meet their needs.
Sage 50 wasn’t cloud-based and was lacking in flexibility, control and functionality. Whilst they did have access via Remote Desktop, importing was cumbersome, there was no period end control and general functionality such as multiple contacts per account was lacking.
With Sage 50 unable to keep up with the growth of the company, Become was looking for a quick and smooth transition to a more suitable, browser based, cloud accounting solution.
Group Finance Director, Tony Bolger, decided to approach Whitegate owner Tony Reissner, having successfully worked together several years earlier – a testament to the memorable service Whitegate offers! Working to a tight deadline, Whitegate was able to provide a practical answer for the company.
Boasting a host of benefits that closely aligned with Become’s needs, it was agreed that the recruitment agency would thrive from a switch to cloud accounting software, Exact Online.
Working closely with Become’s Finance Director and staff, Whitegate’s process for implementing Exact Online involved:
Since the implementation of Exact Online, Become has seen a host of benefits from the switch. Some of Become’s sister companies in the Empresaria Group have now also switched to Exact Online using Whitegate’s implementation strategy.
Outsourcing and Approval
Whitegate has also trained Become’s offshore accounting staff on features such as automatic bank feeds and bank reconciliation rules resulting in less re-keying, increased accuracy, producing faster results and saving time. Purchase invoices are now approved digitally providing more control and traceability as only approved invoices appear on the payment run and a history of the approval is recorded with the invoice.
Credit control staff can now easily make notes against individual contacts when debt chasing conversations are taking place, they can instantly track when an invoice was sent and read, send copy invoices, statements and set reminders for follow-up calls.
"Personal service is important to us. Your knowledge and most importantly you and your contacts are your key strengths. You are comfortable with accounting terms and make our staff feel equally comfortable whenever we need to talk on the phone. The changeover on this product was the least troublesome that I have ever come across."
